The Role: XTL Transport Inc. is currently seeking a highly organized and results-driven Planner / Dispatcher to support our City & Local Operations. This role is responsible for planning, coordinating, and optimizing local cartage and highway overflow while ensuring exceptional service levels, cost control, and compliance with company policies and regulations
Shift: 4on/4off 5am - 5pm
Key Responsibilities
Dispatch & Planning
- Plan all city, local cartage, and overflow highway loads
- Assign and confirm loads with drivers; ensure pre-plans are sent at all times
- Manage relays, load trades, and routing to minimize cartage costs
- Monitor road and weather conditions and communicate impacts to drivers and Driver Managers
- Track & trace drivers to ensure on-time pickups and deliveries
- Manage driver productivity and maintain accurate dispatch status
- Control city driver overtime and ensure compliance with Hours of Service (HOS) regulations
- Review driver hours daily to prevent over-hours and reduce overtime costs
- Optimize driver utilization to reduce bobtailing, wait times, and inefficiencies
- Reconcile daily yard checks with dispatch systems and maintain trailer pool integrity
- Coordinate with Maintenance on OOS (Out of Service) tractors and trailers
- Ensure proper trailer allocation and supply to the garage as required
- Maintain accurate tracking of equipment availability and usage
- Communicate delays, service issues, and OS&D to Customer Service promptly
- Provide follow-ups once deliveries are completed
- Monitor on-time performance and escalate service failures as required
- Liaise with Operations, Customer Service, and Sales on any issues impacting service
- Respond to driver satellite messages and office inquiries in a timely manner
- Review driver schedules, vacations, and bids
- Manage driver time-off requests and staffing requirements
- Support payroll inquiries related to driver delays or hours
- Review trip plans and driver logs to ensure accuracy and proper payment
- Provide shift reports and communicate outstanding issues to the next shift
- Ensure compliance with company policies, collective agreements, DOT & HOS regulations
- Approve trip sheets and local driver pay
- Monitor performance and report any performance issues to Operations Management
- Identify opportunities for continuous improvement in efficiency and service
- Support other planners as required
- Perform other duties as assigned by management
- 2+ years of dispatch, planning, or logistics experience (transportation industry preferred)
- Strong knowledge of city and local cartage operations
- Experience using dispatch systems
- Solid understanding of Hours of Service (HOS) and transportation regulations
- Strong problem-solving skills with a focus on cost control and efficiency
- Excellent communication and organizational skills
- Ability to work in a fast-paced, high-pressure environment
