The Role: As a dispatcher/planner, you will be responsible for coordinating and monitoring daily routes for our fleet to ensure timely and efficient deliveries. This role involves maintaining real-time communication with drivers, customers, and internal teams to resolve operational issues that may arise. This role will require you to manage hours of service and maintain compliance, while updating dispatch systems to support smooth operations and exceptional service standards.

The Schedule: 12 hour 4-on/4-off shift

Responsibilities

Driver Support
  • Ensure phones and satellite messages are answered promptly
  • Manage productivity live using AS 400 tools and maintain dispatch status
  • Plan drivers in accordance with service level requirement of +98%
  • Respond to various types of operational issues including equipment breakdowns, driver re-assignments, load delays, or cancellations.
  • Monitor road and weather conditions, keep drivers advised or inclement weather or road closures
Trouble Shooting
  • Establish a plan for loads that are not projected to meet service commitments. 
  • Communicate service failures or delays to management and customers in real time
  • Ensure appropriate equipment is assigned to customers and trailer bank, ensure equipment commitments are not depleted
  • Complete yard checks, load security, heated load and in-active trailers are monitored and reported on when necessary to maintenance and/or terminal manager
  • Relay information, obstacles, and discrepancies to operations team, manager, customer service, and other relevant departments.
  • Monitor for hazardous time-sensitive maintenance and assign equipment accordingly
Data Integrity
  • ​​​​​​​Ensure data integrity is always preserved and ensure the following actions are done accurately and in a timely manner:
    • ​​​​​​​Dead heads
    • Switches
    • Check-calls
    • Error messages
    • Updating load information in internal system
    • Updating driver status
Planning
  • Apply dispatch rules according to hours of services, company programs, procedures and policies.
  • Plan all loads with priority to service and hours of service.
  • Ensure drivers have started the shift at the appropriate time to ensure on time service.

Customer Service
  • When necessary, enter orders received via fax, email, or phone.
  • Respond to the after-hour needs of customer as they arise and in a timely fashion.
  • Advise customer of any delay

Other Responsibilities
  • Support and replace other planners as needed.
  • Any other duties assigned by management.

Required Skills and Abilities

  • Must have 3-5 years of experience
  • Must have good geographical knowledge
  • Strong knowledge of AS400 and excel considered and asset
  • Candidate must have exceptional interpersonal and communication skills
  • Impeccable, detailed, and proactive phone and satellite habits
  • Strong attention to detail and a high degree of accuracy
  • Ability to multi-task and manage priorities, meet deadlines, work under pressure, and take on additional tasks
  • Critical and strategic thinking
  • Innovation / resourcefulness
  • Able to work in a fast paced environment
  • Able to work in a team atmosphere with minimum supervision.
