Job title: Safety compliance & Training coordinator 6 month contract with potential for permanent
Summary:
This position is responsible for monitoring and maintaining all compliance and training records relating to the Safety Department. Coordinating with various departments to ensuring all items are dealt with in a timely manner and that AS400 and paper / audit trails reflect accurately.
1. Compliance and Training
- Audit new hire files to ensure complete, elevate concerns for non-compliance
- Maintain the compliance files up-to-date
- Ensure that compliance is maintained for Owner Operators, including but not limited to: D & A, FAST, Abstracts, Licence Exp., TDG training, Annual Review, DOT inspections, Maintenance reports, Emissions testing.
- Send messages and letters to Owner Operators when certain documents expire and/or missing.
- Follow-up on message and take appropriate action
- Communicate and follow-up with Agencies concerning expired documents in driver's files
- Obtain government certificates of compliance (WSIB, CNESST, Attestation Rev Quebec.) from agencies
- Advise dispatch to ground units that do not comply to DOT regulations
- Coordinate and track all outstanding Safety and Compliance training with Operations and Trainers
- Register Carrier's Edge training when requested
- Print Carrier's Edge certificates and register in 28/62 and Dr. Comm. db
- Filing of all compliance and safety documents
2. Reporting Stats and Trends
- Ensure data is captured for all divisions
- Reports on trends in relation to Compliance and Training to assist in the analysis of dept objectives
3. Inspections and Violations
- Obtain company abstract records from US and Domestic authorities and cross ref with data on file
- Receive, research , record and enter Ont, Que and US violation data
- Verify corrective action on file for compliance ( ie: repairs, O/op & Co, violation notation on logs )
- Research offender's history of violations and record in Louts Notes discipline file.
- Distribute letters and billing paperwork to appropriate departments.
- Investigate public complaints regarding driver performance. - road complaints.
- Prepare paperwork and appoint legal counsel in contesting fines and follow-up.
4. Master File & O/op Maintenance
- Ensure Master files reflect qualifications (or lack there of)
- Ensure master-files have the most current info
- Remove TDG master file flag if drive is Non-Fast and US
- Create maintenance files for O/op changing trucks
5. Reviews
- Initiate and track driver and O/op 30 / 60 / 90 day and Annual reviews
- Follow-up until complete and register in Dr. Comm db and AS400
6. Drug & Alcohol- Qualify new US drivers for the D & A program
- Schedule appointments for testing
- Coordinate with Agencies and Operations to ensure random D & A tests are done in accordance with regulations
- .Clearinghouse compliance for pre-employment and annual queries for XTL and verify Agency compliance with same
7. Accident Files
- Provide back up support when necessary and or able
Main Requirements and competencies
- Bilingual an asset
- Familiar with established Company policies, procedures, practices, rules, paperwork and able to interpret in these matters
- 1 year past safety experience in a trucking company or with a trucking safety consultant
- Able to instruct
- Resolution of problems and initiative
- Able to work with a minimum of supervision
