Night Dispatch

Night Dispatcher:  With a rich history of success, XTL is poised for even greater achievements in the years to come. As we continue to expand our operations, we seek a Night Dispatcher 4 On/ 4 Off who is self-motivated and shares our passion for growth.  

Schedule: Hybrid Position: 4 On/ 4 Off - 1700- 0500 (0030 - 0500 work from home). On-call component is required for this position.  

Responsibilities 

           Driver Support 

  • Ensure phones and satellite messages are answered promptly. 

  • Manage productivity live using dispatch tools and maintain dispatch status. 

  • Making sure planning is in accordance with service level requirement of +98%. 

  • Responding to various types of operational issues including, but not limited to: equipment   

            breakdowns, driver re-assignments, load delays or cancellations, overweight loads, etc.  

  • Monitor road and weather conditions, keep driver advised of worsening conditions or road  

            Closures.    

           Trouble Shooting 

  •  Establish and put in place a plan for loads that do not seem or will not be meeting service .commitments.  This includes communicating information to customer and customer service. 

  • Ensuring proper type of equipment are assigned to customers and trailer bank commitments are not depleted. 

  • Ensure yard check, load security, heated load and inactive trailers are monitored and reported on when necessary to maintenance and/or terminal manager. 

  • Relay information, obstacles and discrepancies to operations manager, operations, customer service, and/or any other departments when necessary. 

  • Monitor for hazardous time sensitive maintenance flags and assign equipment accordingly.

    Data Integrity 

  • Ensure data integrity is preserved at all times and ensure the following actions are done accurately and in a timely manner:  

  • Deadheads 

  • Switches 

  • Check – Calls 

  • Error message corrections 

  • Place comments in orders updating load or driver status

    Planning 

  • Apply dispatch rules according to hours of services, company programs, procedures and policies. 

  • Plan all loads with priority to service and hours of service. 

  • Ensure drivers have stated the shift at the appropriate time to ensure on time service.

    Customer Service 

  • When necessary, enter orders received via fax, email, or phone. 

  • Respond to the after-hour needs of customer as they arise and in a timely fashion. 

  • Advise customer of any delay.

    Other Responsibilities 

  • Support and replace other planners as needed. 

  • Enter and review driver payroll; flag anomalies to management. 

  • Any other duties assigned by management. 

    Daily Tasks

  • Review emails for the day, note important tasks, moves, load to watch, etc.  

  • Follow up to ensure load information was clearly transmitted and confirmed with driver via text message/phone/satellite. 

  • Double-check, pre-plan loads, backhaul, special moves and create DH (when possible). 

  • Ensure trucks ignition is when driver is supposed to start. If there is any delays, include in nightly report for management.  

  • Coordinate with drivers to keep a flow of tractor coming in and out of garage. Use the emails sent by maintenance as referral. 

  • Monitor road and weather conditions, keeping drivers informed. If there is delay to for-see, do the necessary changes in order to service customer on time. Inform customers of any delays.  

  • Manage and answer office phones in timely fashion and deal with any issues that arise from the phone calls.  

  • Monitor and process satellite messages in AS400 and ensure up to date within 5 minutes. 

  • Make road service calls when necessary. Inform maintenance team if it happens. Use your judgement in order to make the best financial/time efficient decision on breakdown issues.  

  • Create an end of shift report containing issues of the shift, how to fix them. Email said report to team and re-visit on the next day with planner and supervisor.  

  • Try to fix border issues as they arise. Inform supervisor for any suggestions about proactive/troubleshooting in that department.  

  • Be proactive, not reactive to potential problems, delays, complaints that may happen that day.  

  • Have a continual improvement mentality i.e. how to reduce bobtail, how to improve, etc. Constructive criticism is always welcome.  

  • Driver retention is EVERYONE’S responsibility, we need to be sure we treat our driver equally and respectfully.  

  • Any other duties assigned by management.  

    Skills and Abilities 

  • Must have 1-2 years of experience, either in transport or a related industry.; 

  • Must have good geographical knowledge; 

  • Strong knowledge of AS400, excel, lotus notes considered and asset; 

  • Candidate must have exceptional interpersonal and communication skills; 

  • Impeccable, detailed, and proactive phone and satellite habits; 

  • Strong attention to detail and a high degree of accuracy; 

  • Ability to multi-task and manage priorities, meet deadlines, work under pressure, and take on additional tasks; 

  • Critical and strategic thinking; 

  • Innovation / resourcefulness; 

  • Able to work in a fast paced environment; 

  • Able to work in a team atmosphere with minimum supervision.
